Determine Your Gross Annual Income
Find your gross annual income (支払金額) from your final payslips or draft withholding slip. Use the National Tax Agency (NTA) tables to find your Employment Income Deduction, then subtract it to find your net Employment Income.
Sum Your Deductions
Add up all applicable deductions. This includes the Basic Deduction (usually ¥480,000), Social Insurance, Life/Earthquake Insurance, and any deductions for dependents or a spouse.
Calculate Taxable Income and Apply Bracket Rates
Subtract your total deductions from your Employment Income to find your Taxable Income (round down to the nearest ¥1,000). Apply the correct Japanese tax bracket rate and subtract the bracket's deduction amount.
Apply the Reconstruction Tax and Compare Withholdings
Multiply your base tax by 1.021 to include the Special Reconstruction Income Tax, then round down to the nearest ¥100. Subtract this final tax amount from the total tax already withheld from your paychecks throughout the year to find your refund or payment due.
Demystifying Japan's Year-End Tax Adjustment (年末調整)
Every year around November or December, salaried workers in Japan receive a packet of forms from their employers for the Year-End Tax Adjustment (Nenmatsu Chosei / 年末調整). If you've ever wondered how your company determines whether you get a nice tax refund or have to pay a little extra, you are in the right place!
This guide will walk you through the math behind this annual ritual. By learning to calculate this by hand, you will gain deep insight into your personal finances, understand where your tax money goes, and learn how deductions work in Japan.
Prerequisites
Before we start, gather these documents:
- Your final payslips for the year or a draft of your Withholding Tax Slip (Gensen Choshu Hyo / 源泉徴収票).
- Certificates of social insurance, life insurance, or earthquake insurance payments (sent to you in autumn).
- Details of any dependents (spouse, children over 16, or elderly relatives).
The Core Formulas
To calculate your tax adjustment, we follow a simple sequence of formulas:
- Employment Income (給与所得): KBLK0
- Taxable Income (課税所得): KBLK1
- Base Income Tax: KBLK2
- Final Income Tax (including Special Reconstruction Tax): KBLK3
- Adjustment Amount: KBLK4
If the adjustment is positive, you get a refund! If it is negative, you owe a payment.
Worked Example with Real Numbers
Let's calculate the tax adjustment for Ken, a salaried employee with a gross annual income of ¥5,000,000. During the year, his company withheld ¥150,000 in income tax from his monthly paychecks.
Step 1: Calculate Employment Income
For a gross income of ¥5,000,000, Japan's National Tax Agency (NTA) sets the Employment Income Deduction formula as: KBLK5
- Deduction: KINL6
- Employment Income: KINL7
Step 2: Calculate Taxable Income
Ken has the following deductions:
-
Basic Deduction (基礎控除): ¥480,000 (standard for anyone earning under ¥24 million).
-
Social Insurance Deduction: ¥750,000 (health insurance, pension, etc. paid during the year).
-
Life Insurance Deduction: ¥40,000 (calculated from his private insurance certificate).
-
Total Deductions: KINL8
-
Taxable Income: KINL9
Step 3: Calculate Final Income Tax
For a Taxable Income of ¥2,290,000, we look at the official NTA tax brackets. This falls in the ¥1,950,000 to ¥3,299,000 bracket, which has a 10% tax rate and a ¥97,500 deduction:
- Base Tax: KINL10
- Reconstruction Tax (2.1%): KINL11
- We round this down to the nearest ¥100: ¥134,200.
Step 4: Calculate the Refund
- Ken's company withheld ¥150,000 over the year.
- Ken's actual tax liability is ¥134,200.
- Refund: KINL12
Ken will receive a refund of ¥15,800 in his December or January paycheck!
Common Pitfalls to Avoid
- Confusing Gross Income with Taxable Income: Do not apply tax bracket rates directly to your gross salary. You must subtract your deductions first!
- Missing Insurance Certificates: If you don't submit the physical certificates sent by your insurance provider, your company cannot apply those deductions, resulting in a smaller refund.
- Spouse Income Limits: If your spouse works, make sure to declare their income accurately. Exceeding certain thresholds (like ¥1.03 million or ¥1.5 million) changes the spouse deduction eligibility.
When to Use an Online Calculator
While doing this by hand is highly educational, you should use a free online Nenmatsu Chosei calculator if:
- You bought a home and are claiming the complex Home Loan Tax Credit (Jutaku-ローン控除).
- You changed jobs mid-year and have multiple withholding slips.
- You want to double-check your math before submitting your official forms to HR.
