How to Calculate the Total Cost of a Road Trip
Road trips are often cheaper than flying when you account for the full picture—but only if you include all costs. This guide walks through calculating true per-mile and total trip costs.
Core Components
Total Cost = Fuel + Tolls + Food + Lodging + Vehicle Wear
Fuel Cost
Fuel Cost = (Total Miles / MPG) × Gas Price
Example: 800-mile trip, 28 MPG, $3.50/gallon: (800 / 28) × $3.50 = 28.57 × $3.50 = $100
Vehicle Wear Cost
The IRS mileage rate (used for reimbursement) includes gas, oil, depreciation, and wear: $0.67/mile for 2024. For fuel cost only, use actual MPG calculation above. For true total vehicle cost:
800 miles × $0.20/mile (non-fuel wear) = $160 wear cost
Food Estimate
Budget $15–25/person/meal when traveling. For 2 people over 3 days (2 meals/day): 2 people × 2 meals × 3 days × $20 = $240
Lodging
Budget lodging per night based on your travel corridor. Budget hotels: $70–100/night. Mid-range: $120–180/night. 2 nights × $120 = $240
Total Trip Cost (Example Summary)
| Expense | Cost |
|---|---|
| Fuel | $100 |
| Vehicle wear | $160 |
| Tolls | $25 |
| Food (2 people) | $240 |
| Lodging (2 nights) | $240 |
| Total | $765 |
Per person: $382.50 — compare to flights + transport to/from airports.
